Chatline for Google Chat ("Chatline") is a Jira Cloud app built on Atlassian Forge by YTI Digital OÜ (Estonia). It posts the Jira changes a Jira administrator chooses to Google Chat spaces through incoming webhooks. Contact: support@yti.digital.

What the app stores, and where

All data below is stored in your Jira site's Forge app storage, hosted by Atlassian. It follows the data residency of your Atlassian site. We do not run our own servers for the app, and we have no copy of your data.

  • Connected spaces. For each Google Chat space: the name you give it, a JQL filter, the kinds of changes to post and the options you chose.
  • Webhook URLs, in Forge secret storage. They are never shown again after saving and never logged.
  • Delivery status per space: how many messages were sent or failed, the last error message from Google Chat, and the date of the last daily digest.

Issue content is not kept. With bundling on (the default), the changes of an issue wait in Forge storage for about a minute (at most five) so that quick edits become one message; they are deleted once posted. They hold account IDs, never names or email addresses: names are looked up in Jira when the message is posted. A message that has to be retried waits in the app's Forge queue for at most about 15 minutes.

What leaves Atlassian

  • The Google Chat spaces you connect. For each change a space is set up to receive, Chatline sends to that space's webhook URL on chat.googleapis.com, over HTTPS:
    • the issue key, summary, type, project, status, priority and assignee name;
    • what changed and the display name of the person who changed it;
    • the values of extra fields an administrator chose for new-issue cards;
    • the comment text, or the description of a new issue, only if those options are on;
    • for daily digests, sprints and releases: lists of issue keys, summaries, statuses, assignees and due dates, and the sprint goal or version description;
    • for Jira Automation rules that use the Chatline action: the text the rule's author wrote;
    • links to the issues.
    Google processes this data under your organisation's Google Workspace agreement.
  • Never sent: comments restricted to a role or group, internal Jira Service Management comments, and, while the default option is on, issues that have a security level.
  • Nothing else. No third-party analytics, tracking, advertising or processors. We do not sell or share data.

Logs

The app logs only counts and status words, for example "1 message planned" or "delivery failed". It never logs issue text, keys, names, account IDs or webhook URLs. Atlassian keeps Forge logs according to its own policies.

Retention and deletion

  • Settings stay while the app is installed.
  • Removing a space in the app deletes its settings, webhook URL and delivery status.
  • When the app is uninstalled, Atlassian deletes the app's Forge storage according to its Forge data retention policy.
  • Messages already posted stay in Google Chat and are governed by your Google Workspace retention settings.

Your rights

For access, correction or deletion requests, contact support@yti.digital or your Jira site administrator.

Security

  • Only Jira administrators can view or change the settings.
  • Only webhook URLs on chat.googleapis.com are accepted; the app cannot send data anywhere else.
  • Text from Jira is escaped, so it cannot mention people or create links in Google Chat.
  • Report security issues to support@yti.digital.

Changes

We will update this page and its date when the app's data handling changes.
